The Exhibitor Manual is an integral part of your Contract and it’s your responsibility to understand and respect the show’s insurance requirements, exhibit specifications, fire regulations and shipping information. Below you will also find all the contact details and deadline dates for the various show service providers.
Only our Official Suppliers (GES Canada, Centre de foires, Solotech, Moto Journal) will contact you with regards to booth decor, electrical/banner requirements and Show Guide advertising.
The show’s only official hotel is Hotel and Suites Normandin. Any emails or calls you receive regarding other shows are NOT authorized.
We do NOT sell any contact information. Any emails or calls that you may receive with regards to purchasing a “list of contact names” whether vendors or consumers is FALSE. These are out of country companies trying to solicit funds and they are not compliant with our Canadian CASL laws. We do report them to the Canada Anti-Fraud Bureau (Spam Reporting Centre).

Contact Details and Show Supplier Deadline Dates
Order your in-booth services from the various show providers before their deadline dates and benefit from early-bird pricing.

Exhibitor badges are issued, free of charge, based on square footage, for staff working in your booth:
0 sq. ft. – 599 sq. ft. = 5 badges
600 sq .ft. to 1,000 sq. ft. = 10 badges
1,001 sq. ft. to 1,499 sq. ft. = 15 badges
1,500 sq. ft. to 1,999 sq. ft. = 20 badges
2,000 sq. ft. to 2,999 sq. ft. = 25 badges
3,000 sq. ft. to 5,499 sq. ft. = 30 badges
5,500 sq. ft. and more = 40 badges
You will receive access to the Exhibitor Badge Registration system in December.
Should your require additional badges, for staff working in your booth, please download the order form below and return it to email@example.com.

Solotech - Electrical, Sign Hanging and Audio-Visual
Exhibitors who require electrical services, signage installation or audio-visual services, must order these directly through the Solotech.
For the 2020 edition of The Quebec City Motorcycle and ATV Show Show, exhibitor orders must be placed online ONLINE. Please note that paper forms are no longer available.
Advanced pricing is available until January 28th, 2020.

Centre de foires - Telecommunication services
Exhibitors who require telecommunication services must order these directly through the Centre de foires – Expocité.

Fire Prevention Guide
Exhibitors are required to comply with the Fire Prevention Guidelines outlined by the Centre de foires – Expocité.

GES - Official Decorator
GES is the recommended decorator for the Quebec City Motorcycle and ATV Show.
Important: All exhibitors are required to have suitable floor covering for their booth space. If you do not have your own floor covering, please contact GES to make arrangements for carpet rental.
In addition to carpet rental, GES also offers furniture rental, drapery, booth decor, as well as custom booth design services to help you stand out in the crowd.

Hotel & Suites Normandin
A block of rooms has been reserved for exhibitors at the Hotel & Suites Normandin.
A special room rate of $137 + taxes / night (urban room) or $158 + taxes / night (suite) has been negotiated with the hotel. Reservations must be made before January 24th, 2020 the secure this rate.

As a confirmed exhibitor, you can now order V.I.P. Tickets in advance of the show, to distribute to your clients, family or VIPs. (A minimum order of 10 tickets is required). V.I.P. Tickets can be purchased at a discounted rate of $12.00, including GST and QST (regular admission is $15.00, including GST and QST).
All billing and invoicing will be done after the show and you will only be charged for tickets that were actually redeemed at the gate. Orders received before January 24th 2020 will be mailed out to you. Orders received after this time will be filled and held for pick-up at the Show Office.

Dealer tickets are back by popular demand! Order yours today and sell them all winter long, leading up to the show!
Dealer tickets are show admission tickets that you can purchase at a discounted rate of $12.00 / ticket (including taxes), and that you can resell through your business, in advance of the Show.
To ensure fair and consistent pricing for all consumers, you MUST resell these tickets at the discounted price of $12.00 / ticket. This represents savings of $3.00 / ticket – an advantage your clients will definitely appreciate and a great way to drive traffic through your doors leading up the Show.
No matter how many tickets you order, all billing will be done after the show, and you will only be charged for tickets that were actually redeemed at the gate.

As an exhibitor participating in the Quebec City Motorcycle and ATV Show, you must have adequate Liability Insurance with a minimum $2,000,000 limit to protect the Exhibitors, the attending public, the show organizer and yourself. Our insurance policy does not extend coverage to any exhibits and requires you to submit a Certificate of Insurance upon receipt of the exhibitor’s manual
There are (2) ways to arrange the required Insurance:
OPTION #1: SINGLE EVENT INSURANCE
Power Sport Services has appointed Exhibitor Insurance.com as the recommended Insurance contractor for exhibitors. Order directly online at www.exhibitorinsurance.com, choose click on Order Insurance from the menu and enter Quebec City Motorcycle Show 2020 into the Event Name field.

OPTION #2: YOUR OWN INSURANCE
Contact your own Insurance Company, request a certificate of Insurance with the following requirements below:
• Power Sport Services listed as an additional insured.
• Dates of the show: 2/05/2020 – 2/10/2020 (includes move in and out dates)
• Comprehensive General Liability of $2,000,000
• Bodily Injury and Property Damage Liability subject to a maximum $1,000 Deductible.
• Products and Completed Operations Liability
• Contingent Employers Liability
• Broad form Property Damage
• Cross Liability clause
• Severability of Interest Clause

Decor Expert Expo - Forklift and In-Booth Cleaning Services
Materials handling, to bring your products from the loading docks to your booth (and vice versa) as well as in and out of storage, is included in your exhibit rental fee. Exhibitors who require forklift service within their space, MUST order forklift services directly through Decor Expert Expo.
In-booth cleaning services can also be arranged through Decor Expert Expo.

During move-in (Wednesday and Thursday) parking for exhibitors is free of charge. During official show days (Friday, Saturday and Sunday), exhibitors can purchase a 3-day parking pass for $30 or a one-day parking pass for $10. These passes offer in and out access (up to a maximum of 3 per day). You can purchase these passes from the attendant upon entering the parking lots by simply mentioning that you are exhibitor at the show. Parking Lot 10 (see map below) is reserved for exhibitors.
